What information do we collect?
We may collect personal information about you, either directly from you or from other parties and we may generate information about you when we carry out our business.
Indirect Collection of Personal Information (IPP3A — applies from 1 May 2026)
Sometimes we collect personal information about you from someone else. This may include information we receive from your professional advisers; service providers we work with; organisations you have authorised to share information with us; and publicly available sources, such as public registers or information available online.
If we collect personal information about you from someone else, we will take reasonable steps to let you know, unless an exception applies.
When we do this, we will tell you:
- The fact of collection — that we have collected, or will collect, personal information about you from someone else.
- Purpose — why we collected your information and how we plan to use it. The purpose will be specific enough to be meaningful.
- Intended recipients — who your information may be shared with. We will name specific organisations where practicable. Our Indirect Collection Source Schedule lists those organisations.
- Who we are — the identity of the organisation collecting and holding your information, and our contact details.
- Legal basis — where collection of your information is authorised or required by a particular law, we will name that law.
- Your access and correction rights — that you can request access to your information and ask for it to be corrected.

Where possible, we will provide this notice before or at the time we collect your information. Where that is not practicable, we will let you know as soon as reasonably possible afterwards.
In some limited situations, we may not be able to tell you that we have collected your personal information from someone else. This may happen if:
- Letting you know would be impossible or not reasonably practicable.
- We are legally required or permitted to collect the information without notifying you.
- Telling you would create a serious risk to someone's safety or national security.
- The information is publicly available.
These exceptions are narrow and we will always notify you wherever it is reasonably possible to do so. In all cases, we will continue to handle your personal information in line with this privacy statement. In situations involving anti-money laundering reporting obligations, we may be legally prevented from notifying you; we will handle those situations in accordance with our legal obligations.
The types of personal information we collect about you may include:
- Contact information: your name, phone number, email address, postal address, physical address.
- Documents that verify your identity and other personal details: such as your passport or drivers' licence number.
- Subscriptions/preferences: when you subscribe to receive our newsletter or updates.
- Technical information: information about the device used to access the website or other social media sites, such as IP address, browser type, time zone settings and mobile network information.
What do we do with it?
We collect and use your personal information to provide the information and services that you request from us, and to provide you with information about other services we consider appropriate.
When necessary, we may use your information to:
- Comply with our legal and regulatory obligations (including Anti-Money Laundering / Counter Financing of Terrorism compliance and audit and reporting requirements).
- Defend or enforce our rights — for example, to collect money owed to us.
These purposes apply whether your personal information is collected directly from you or from someone else. We do not use personal information collected from other sources in unexpected or unfair ways.
Who do we share it with?
Besides our staff, advisers and our related companies, we may share this information with third parties who enable us to provide you with our services. These include:
- Your other professional advisers
- Product providers
- Our service outsource providers such as IT consultants, custodians, etc.
We will only share your personal information with third parties where it is necessary to help us do what we collected your information for, where it is required by law or where you give us authority to. Some of the personal information we share with third parties may have been collected from other people or organisations. If we receive the information from a third party, we will assess whether a notification is required before using it. You can ask us where your personal information came from when you deem it necessary.
We require these third parties to adhere to our strict confidentiality requirements for handling personal information and we seek to ensure that they comply with the Privacy Act 2020.
Where do we store it?
We use third party cloud service providers to store and process the information we collect. We use Microsoft Office 365 (Azure) cloud servers located in Microsoft Australia Azure Datacentre and also IRESS XPlan cloud servers located in Australia. We ensure that our cloud-based service providers are subject to appropriate security and information handling arrangements and that the information stored or processed by them remains subject to confidentiality obligations.
What are my rights?
You do not have to provide information to us. If you choose not to provide necessary personal information when requested, we may be unable to provide certain information or services to you.
You have the right to ask for a copy of any personal information we hold about you, and to ask for it to be corrected if you think it is wrong. You have the right to ask where your personal information came from if it was not collected directly from you.
